- Business Name — collected via: Vendor Booth Registration Form only

- Business Description — collected via: Vendor Booth Registration Form only

- Payment Information (credit/debit card) — collected via: Payment checkout, processed entirely by Stripe. The Houston Polish Festival never stores, receives, or has access to full card numbers.

- SMS Opt-In Consent Record — date, method, and status recorded at time of consent

 

We do not collect mailing addresses, government-issued ID numbers, Social Security numbers, or any sensitive personal data categories. We do not use website analytics tools and do not automatically collect IP addresses or behavioral data through tracking scripts.

Personal data collected by the Houston Polish Festival is used exclusively for the following purposes:

 

Vendor Registration & Festival Operations:

- Processing vendor booth registration applications

- Communicating application status, booth assignments, and event-day logistics to vendors

- Processing booth fee payments through Stripe

- Enforcing vendor agreements and festival participation rules

 

SMS & Email Communications:

- Sending SMS text messages to users who have explicitly opted in (see Section 3)

- Sending email communications including confirmations, event programs, schedules, and newsletters to subscribed users

- Responding to inquiries submitted through our contact form

 

Festival Information Delivery:

- Delivering festival programs, food menus, event schedules, and announcements

- Sending post-festival follow-up including feedback requests and future season information

 

Legal & Compliance:

- Maintaining vendor and financial records for accounting and legal compliance

- Retaining SMS opt-in and opt-out records as required by A2P 10DLC regulations

- Complying with applicable federal, state, and local laws

 

User data is never used for targeted advertising, third-party marketing, data brokering, or automated profiling.

3. SMS OPT-IN DETAILS

The Houston Polish Festival operates an A2P (Application-to-Person) SMS messaging program through LeadConnector, operating within the GoHighLevel platform.

 

HOW SMS CONSENT IS OBTAINED:

Users are only added to our SMS program after providing explicit, voluntary consent through one of these three methods:

 

1. Vendor Booth Registration Form (Website) — An unchecked SMS consent checkbox appears on the form. The user must actively check the box before submitting.

2. General Contact / Inquiry Form (Website) — An optional, unchecked SMS consent checkbox appears. Checking the box and submitting constitutes opt-in consent.

3. Verbal / In-Person Consent at the Festival — Authorized staff collect a phone number and verbal consent in person. The user is informed of the program purpose, message frequency, rates, and opt-out method at the time of collection.

 

All SMS consent checkboxes are unchecked by default. Consent to receive SMS is never bundled with form submission, purchase, or event participation. Opting in is always voluntary and optional.

 

SMS USE CASES — WHAT MESSAGES ARE SENT:

- Vendor application status confirmations and updates

- Booth assignment details, site maps, load-in schedules, and setup instructions

- Payment reminders and payment receipt confirmations

- Festival schedule announcements, program updates, and entertainment information

- Time-sensitive weather, safety, or event-day alerts

- Post-festival follow-up messages and future season announcements

 

SMS messages are never sent for third-party advertising, affiliate promotions, or any purpose unrelated to the Houston Polish Festival.

 

MESSAGE FREQUENCY:

Message frequency varies. Opted-in vendors may receive up to 4–8 messages per month during the festival season. General subscribers will receive fewer messages.

 

MESSAGE & DATA RATES:

Message and data rates may apply. The Houston Polish Festival does not charge for SMS messages. Your mobile wireless carrier may charge standard message and data rates. Contact your carrier for rate details.

 

OPT-OUT INSTRUCTIONS:

You may opt out of all SMS communications at any time by:

- Replying STOP to any SMS message — one final confirmation will be sent, then all messaging will cease immediately

- STOP — Immediately unsubscribes you. One confirmation sent. No further messages.

CARRIER LIABILITY DISCLAIMER:

Wireless carriers are not liable for delayed or undelivered messages. Delivery is subject to carrier network conditions and device compatibility. Supported carriers include AT&T, T-Mobile, Verizon, Boost Mobile, U.S. Cellular, and MetroPCS.

 

Age Requirement: You must be 18 years of age or older to opt in to SMS communications.

 

Consent to receive SMS is NOT a condition of purchasing goods or services, booking a vendor booth, or attending the Houston Polish Festival in any capacity.

- Payment / credit card data: Processed exclusively by Stripe (PCI-DSS Level 1 certified). The Houston Polish Festival never stores, sees, or touches full card numbers at any point.

- Data transmitted via website forms: Protected by HTTPS / TLS encryption during transmission.

- SMS opt-in records, phone numbers, message logs: Stored exclusively in GoHighLevel / LeadConnector; never exported to external or unsecured systems.

- Internal access to personal data: Restricted to authorized Houston Polish Festival organizers only, on a need-to-know basis, protected by individual login credentials.

The Houston Polish Festival does not sell, rent, lease, trade, share, or otherwise disclose mobile phone numbers or any SMS opt-in information to third parties or affiliates for marketing, advertising, or promotional purposes — under any circumstances.

 

Mobile phone numbers are used solely to deliver the SMS communications that the user has explicitly consented to receive. Phone numbers are stored securely within GoHighLevel / LeadConnector and are accessible only to authorized Houston Polish Festival staff.

 

Mobile data is:

- Never sold to data brokers, list companies, or any outside organization

- Never shared with festival sponsors, participating vendors, or any third party for marketing use

- Never used for advertising or promotions unrelated to the Houston Polish Festival

- Never exported outside of GoHighLevel / LeadConnector

 

The only parties that technically interact with phone numbers are LeadConnector / GoHighLevel (our SMS delivery platform) and the user's mobile carrier (to route messages to the device). These are operationally required to deliver messages and do not constitute a sale or marketing transfer of mobile data.

 

No mobile information obtained through the Houston Polish Festival is shared with any third party for marketing purposes.
